DoveBid® Transportation & Logistics Services has created a new program for the
auction industry using our 65 years of auction experience to determine the best shipping
solutions for our buyers.
Our transportation & logistics department works to schedule and suggest logistics
service providers for each DoveBid auction. These vendors are available to assist buyers
in the removal, packaging and shipping of assets won at auction.
Our goal is to provide buyers with reliable, price competitive riggers, packers, movers
and carriers. These service providers are familiar with DoveBid's checkout and removal process
and can act as your eyes and ears on the warehouse floor.

What we do (and don't do)
As a service to you, our Transportation & Logistics Services department works
to research and suggest one or more local logistics service providers who
understand DoveBid's removal process, offer specific services, and have certain
skills and capacities.
DoveBid does not pack, rig, or ship items.
Unless stated otherwise, buyers are responsible for:
- removing assets from their current location before the "removal deadline" stated
in the sale's terms and conditions,
- packing, crating, or dismantling items, and
- shipping or transporting assets to their new location.
Buyers may either pick-up the assets themselves or contract with a
third party to arrange for asset removal, packing, rigging, or shipping.
Important:
If the person picking up and removing equipment from an auction or
sale location will be someone other than the registered bidder at
that sale, the registered bidder must establish that person/ company
as an "Authorized Agent" by completing the
"Agent Release Authorization
form." (Acrobat PDF)
For each auction our Transportation & Logistics Services department maintains a
Shipping Information page with asset locations, DoveBid removal contacts, and known
third party service providers. Just click the Shipping Info icon (a truck) on the right side
of the auction's details page.
This list will be posted no later than the week of the auction. If there is no information available within
5 business days of the sale, call or email 800-665-1042 or Logistics@DoveBid.com. Please include
the auction name and date with your request.
NOTE: Unless stated otherwise, you are NOT limited to using these suggested companies. Feel free to
find your own packaging or shipping company using an online Yellow Pages. Regardless of the vendor
used, the buyer remains responsible for adhering to the removal deadline posted for that auction.
How to get a price quote
To obtain a price quote, contact a vendor directly. You should expect to provide them with the following
information:
- The name/ date of the auction and location of the asset(s)
- A list of Lot numbers (or a description of the assets)
- A ship-to address
We recommend you insure all shipments.
If you have not heard from the vendor within 48 hours of providing this information, if they will not
provide a quote, or if the price quoted was too high please contact DoveBid Customer Service at 800-665-1042
or CustomerService@DoveBid.com.
A service representative will work with Transportation & Logistics Services who will
review the situation. If we find the company is unresponsive or overcharges, we will
consider removing them from the suggested list or provide additional companies for your
consideration.
Remember, unless stated otherwise, you are NOT limited to use the companies we suggest.
Feel free to find your own packaging or shipping company by using an online Yellow Pages.
Finally, please note, DoveBid' suggested service providers do NOT work for DoveBid.
They are independent contractors.
How to determine what service(s) you need
Most assets purchased at auction are in need of one or more logistics services before
they arrive at their new location. Below is a list of common services:
Packing & Crating
Most assets purchased at an auction need to be prepared before they can be safely
shipped. Fragile equipment like computers and microscopes should be foam-packed or
protected in bubble-wrap. If you purchase multiple assets, they may be able to be
consolidated into one box or crate before shipping. Since most carriers (see below)
will not accept loose or unpackaged freight, this is typically the first step in an
item's shipping process. Once items are packed, they need to be prepared (forms completed)
and handed to the carrier of choice.
Rigging
Large, complicated machinery may need to be disconnected, disassembled, staged and loaded
onto a truck. Riggers (machinery movers) can provide these services and may also be helpful
in documenting the dismantling process and labeling connections in order to make set up
and reconfiguration more efficient on the receiving end. DoveBid Transportation & Logistics
Services works to make sure suggested riggers have the proper insurance and experience
to properly execute your move in a reasonable timeframe.
Movers
These are companies/ individuals who hand pack and load your assets into a padded
van or truck and transport them to a specified location. They offer the same services
as residential and commercial movers. Typically, this is the safest and most
reliable way to move assets that do not require rigging.
Carriers
These are the transportation companies. Examples include Fedex, UPS, Airborne Express,
and DHL. Once assets are packaged, they need to be prepared for the carrier of
choice: forms filled out, pickup appointment scheduled, and physical hand-off to
the carrier's truck. Our suggested riggers and packers usually offer this service.
International Transportation
Land, air, or ocean container transportation across international borders
usually involves the additional complexities of specially-prepared documents
which enable goods to pass customs checkpoints without penalties or delays. DoveBid's
suggested vendors have the experience required to manage these complexities.
The Checkout Process
Picking-up and removing equipment yourself:
- Pay for your equipment in full.
- Receive a "paid-in-full invoice" or other proof of payment from the
auction's site manager, accounting manager, or Customer Service.
- If an appointment is necessary, make a removal appointment with the DoveBid
removal contact AFTER you have paid in full. Contact information is posted on
the Shipping Information page for each auction or can be provided by Customer Service.
- If no appointment is necessary, confirm the asset location & removal schedule
and go to the specified location to pick-up the assets.
- Present your proof of payment to DoveBid's on-site personnel.
- Find and gather your assets and sign the auction invoice acknowledging receipt
of all purchases and all goods sold are AS IS, WHERE IS, WITH ALL FAULTS. This will
prove you received your equipment. You can now walk out the door.
Using a third-party vendor to pick-up and remove equipment for you:
- Contract with a vendor for the services you need.
- Determine who and how the assets will be shipped (we recommend you get INSURANCE)
- Pay for your equipment in full.
- The registered bidder must establish that person/ company as an "Authorized Agent"
by completing the "Agent Release Authorization
form." (Acrobat PDF)
- Receive a "paid-in-full invoice" or other proof of payment from the auction's site
manager, accounting manager, or Customer Service.
- Fax or email a copy of the "paid-in-full invoice" or other proof of payment to the vendor.
- If an appointment is necessary, confirm the vendor has made a removal
appointment with the DoveBid removal contact. Contact information is posted on the
Shipping Information page for each auction or can be provided by Customer Service.
- Have the Authorized Agent present your proof of payment to DoveBid's on-site personnel.
- They will find and gather your assets and sign the auction invoice
acknowledging receipt of all purchases and all goods sold are AS IS, WHERE
IS, WITH ALL FAULTS. This will prove your equipment was received and
either taken to an off-site location for packaging or packaged at their
current location.
Where are my assets? They never arrived.
Once DoveBid has released the equipment to the buyer-approved service provider, DoveBid
is no longer involved. Claims made after the equipment is released and signed-for should
be made to the service provider or the carrier directly once a tracking number has been assigned.
If you contracted with a DoveBid-suggested company, and feel they have under-performed or were
negligent in their duties, please contact DoveBid Customer Service at 800-665-1042 or CustomerService@DoveBid.com.
A service representative will work with Transportation & Logistics Services who will
review the situation. If we find repeated complaints, we will consider removing them from the suggested list.
Please note: DoveBid Logistics' suggested service providers do NOT work for DoveBid. They
are independent contractors.
What if something is wrong with the equipment I purchased?
When conducting an auction with thousands of lots in a compressed
timeframe, it is impractical for DoveBid to verify, validate, and
warrant the equipment we sell for our clients. As a result,
equipment offered through a DoveBid auction is sold on an "as
is", "where is", "as available" basis "with all faults" and without
representations or warranties of any kind whatsoever, express or
implied, including fitness for a particular purpose, unless
specifically stated otherwise. If a warranty is offered, it will
be stated in the sale's terms and conditions.
For this reason, your pre-sale inspection is critical and you
should perform whatever due diligence you believe is necessary
prior to participating in an auction. Previewing, inspecting,
and testing the equipment you intend to purchase BEFORE you bid
on it can save you inconveniences.
Once you are a successful bidder, you are obligated to complete
your purchase of the subject equipment by paying in full and
removing the goods within the specified time.
During checkout, when items are picked-up at the dock, you or your
Authorized Agent should physically inspect the equipment to confirm that it
is what you purchased.
If you are using an Authorized Agent, take the time to explain to
them what you expect, what they should look for, and to call you if
there are any questions about the equipment.
You or your agent will be expected to sign the auction invoice
acknowledging receipt of all purchases, and all goods sold are AS
IS, WHERE IS, WITH ALL FAULTS.
If the equipment is not as expected, please speak to the
Project Manager of the sale. (S)he can help to resolve any issues.
Please remember, positively no refunds or credits for shortages or
claims will be considered after the goods have left the premises.
